Streamlining Print File Visibility

In print on demand, the lack of visibility into the production workflow has long been a major challenge for business owners. In this blog we’ve frequently discussed the black hole that often exists between the printing and dispatch processes, especially when items undergo multiple stages of finishing. However, it’s equally important to address the upstream process, focusing on file review and understanding where an order stands before it reaches the printing stage.

The Traditional Approach

Traditionally, the pre-press team plays a crucial role in ensuring that orders are print-ready and properly placed onto the press. This process often involves significant manual interaction with files, making it prone to human error and inefficiencies. More advanced facilities might use systems like Enfocus Switch to automate the movement of files to the correct place (provided the rules are correctly set up) but while this can streamline the process, it doesn’t verify whether the files have actually arrived at their intended destination, only that they were sent.

The Modern Solution

Production management platforms like ZenSmart take a different approach by working directly with the devices and RIPs (Raster Image Processors) to provide immediate feedback. This is achieved through the integration of Internet of Things (IoT) technologies, enabling direct communication with printers and RIPs via APIs, direct database access, JDF (Job Definition Format), log files, and other methods. By doing so, systems like ours ensure a seamless flow of information from file submission to print completion.

Once configured, ZenSmart treats file processes similarly to how it handles downstream workflows. Each print file, or “Submission” in ZenSmart terminology, receives digital scans at various stages, much like barcodes are scanned in a physical workflow. These automated scans track every aspect of the file’s journey, from ripping to printing, providing a comprehensive overview of the entire process.

The key to ZenSmart’s effectiveness lies in its ability to create consistency and standardization across all stages of the production process. By capturing and storing data uniformly, ZenSmart provides a single source of truth that simplifies data interpretation and business decision-making. This consistency allows for enhanced visibility into both upstream and downstream workflows, enabling continuous improvement and greater efficiency.

What it means

Visibility in print production is crucial for maintaining efficiency, reducing costs, and driving continuous improvement. By integrating IoT technologies and standardizing data capture and storage, modern workflow automation suites like ZenSmart offer a robust solution for both upstream and downstream workflow visibility. This comprehensive approach not only enhances operational transparency but also supports informed decision-making and sustainable business growth.

Without proper data, continuous improvement is impossible. Accurate and consistent data from every stage of the production process is essential. Ensuring that data is captured correctly and used effectively is the foundation for success.
